CQUniversity consideration of special circumstances

CQU's evidence, from a doctor who actually assesses you.

CQU's Consideration of Special Circumstances Policy and Procedure asks for a professional practitioner certificate or medical certificate from a registered health practitioner and does not address how the consultation took place. Modality is not a listed test; what the document states about your circumstances and their timing is.

Launching 19 September

What CQU asks for

What your CQU medical certificate must state.

CQU has no practitioner section. The certificate carries the doctor's opinion, so what it states is what decides the outcome.

  1. 01That it comes from a registered health practitioner, with their name, registration and practice contact details
  2. 02The dates you were seen and the period the condition affected you
  3. 03When the condition made its full impact, so CQU can see it fell on or after the census date
  4. 04How the condition affected your capacity to study and complete the unit

What the same evidence is for

One consultation, three CQU outcomes.

Students search for these by name. CQU treats them as one process with different outcomes.

1

CQU special circumstances

This is CQU's process for circumstances beyond your control that made it impracticable to complete a unit. The circumstances must not have made their full impact until on or after the census date, or their magnitude must only have become apparent after it. The application asks for independent evidence of both the condition and its timing.

2

CQU withdrawal without penalty

An approved application removes the academic penalty for the unit, so a failed or late-withdrawn unit no longer counts against you. You can apply whether or not you have already withdrawn from the unit, and the fourteen month window runs from the withdrawal date or the census date.

3

CQU refund or re-credit of the unit's fees

The same application covers the financial side: fees paid for the unit, or the student loan balance used for it, can be reversed when special circumstances are approved. Because the academic and financial outcomes are assessed together, one set of evidence supports both.

How to apply at CQU

From unwell to lodged, in five steps.

DeadlineWithin fourteen months of the date the unit was withdrawn, or of the census date for a unit that was not withdrawn
  1. 1

See a doctor and ask for a certificate that describes the period you were affected, not just the day of the appointment.

  2. 2

Work out the census date for the unit, because CQU assesses whether the full impact of your circumstances landed on or after it.

  3. 3

Download the Consideration of Special Circumstances application form and complete the student sections, describing what happened and when.

  4. 4

Attach the professional practitioner certificate or medical certificate, along with any other independent evidence.

  5. 5

Lodge the application within fourteen months of withdrawing from the unit, or of the census date if you did not withdraw.

What your certificate carries

Facts a university can check, not claims.

CQU questions

Asked the way students search them.

Answers reflect CQU's published policy on 16 Sept 2026. CQU decides what it accepts.

Does CQU accept online medical certificates?

CQU's published procedure does not address telehealth or online certificates. It asks for a professional practitioner certificate or medical certificate from a registered health practitioner, and assesses what the document says about your circumstances and their timing.

What is the CQU special circumstances deadline?

Fourteen months. The window runs from the date you withdrew from the unit, or from the census date for the term in which the unit was, or was to be, undertaken if you did not withdraw.

How do I withdraw from a CQU unit without penalty?

Before the census date you can simply withdraw without academic or financial penalty. After it, you apply for consideration of special circumstances and show that your circumstances were beyond your control and made it impracticable to complete the unit.

What evidence does CQU need for special circumstances?

Independent documentation that shows both the circumstance and its timing. For medical grounds that is typically a certificate or report from a registered health practitioner giving the dates of treatment and explaining how the condition affected your capacity to study. Applications are not assessed until the evidence is attached.

Can I apply to CQU after I have already failed the unit?

Yes. The process is available whether you failed the unit or withdrew from it late, provided you apply within the fourteen month window and can show the circumstances made it impracticable to complete the unit's requirements.
